SHIPPING GUIDE FOR 2020 BIBF

In order to ensure that your exhibits will be shipped to the 2020 BIBF exhibiting booth(s) safely, promptly and accurately, BEX Logistics Company Limited has been appointed by the fair organizer as the sole official freight forwarder of 2019 BIBF and provides a full transportation services for shipping your exhibit(s) to the exhibition.

Please carefully read the following guidelines to guarantee your exhibits to reach your booth(s) on time.

1.  Accordingly to the rule of “People's Republic of China for Goods Temporarily Imported Customs Management” ,all temporary import exhibit(s) must go through formalities of temporary customs entry and under customs supervision. All temporary import exhibit(s) shall ONLY be allowed for display or use at the exhibition purpose after temporary customs clearance is finished.  Besides, All exhibitor(s) is/are NOT allowed to take their temporary import exhibit(s) away from the show ground without import duty paid and permanent import customs formalities finished. For details, please contact the sole official freight forwarder – BEX Logistics.   

2.  In order to ensure that your exhibit(s) can be delivered to the booth(s) on time, exhibitor(s) MUST hand over their exhibit(s) to the appointed overseas shipping agent within the deadline.  Due to difference customs system, we CANNOT accept that exhibitor(s) arrange sea freight LCL shipment direct to Beijing or Xingang port and any postal express mailing/courier (such as FEDEX, DHL, UPS, TNT, OCS, EMS, etc.) by themselves. We also do NOT recommend overseas exhibitor(s) to arrange their exhibit(s) to their hotels or representative office in Beijing directly. If overseas exhibitor(s) do elect to use this kind of transportation, we cannot guarantee that your exhibit(s) can be delivered to your booth(s) and will not take any responsibility.

 

3.  Exhibit transportation arrangement.

Please do not send any exhibits/goods to the above-mentioned address or extra surcharges will be incurred.

(1)    Consolidation in Hong Kong for sea shipment
Shipping types acceptable: FCL shipment or LCL shipment

Shipping documents delivery: Shipping documents must be faxed/ emailed to the sole official forwarder/BEX Logistics before exhibits have been departed from the origin, and BEX must receive original shipping documents 3 working days before the exhibits arrive at Hong Kong. A "Declaration Form for Temporary Import Exhibits" (See attachment) should be included with the shipping documents. 

(2) Consolidation in Hong Kong for air shipment

Consolidating period in Hong Kong: August 03 - 06, 2020

Shipping documents delivery: Shipping documents must be faxed/emailed to the sole official forwarder/BEX Logistics before exhibits have been delivered for shipping. A "Declaration Form for Temporary Import Exhibits" (See attachment) should be included with the shipping documents.

**Please arrange Master AWB direct to arrive at Beijing Capital Airport (PEK), Pls DON’T send any shipments to Beijing Daxing airport (PKX) .
**Please try to arrange direct flight to Beijing Capital Airport.If you really need to arrange transshipment, please DON’T arrange the flight transfer via China city. Otherwise, we will not responsible for any delay and surcharges will be effected.

Note: A late surcharge of 50% will be levied for shipment arrives over the designed deadlines. We will try our best to arrange the exhibit(s) to your booth(s) but no guarantee can be given.

 

4. Inbound movement and relevant charges:
a.    For all the local charges from your origin up to Hong Kong or Beijing terminal, please contact with the appointed overseas agent and you are required to settle all transportation charges with them directly.

b.  Consolidation shipment from arrival Bex Hong Kong’s warehouse to stand includes customs clearance, transportation, interim storage, unloading / loading container etc. 
By sea    RMB 1,260.00 per F/T (1 m3 or 1,000, kg whichever is greater) (Minimum charge for 1 F/T. In case of exhibits less than 500 kg or 0.5 m3, they will be charged for 1 F/T at minimum fee of RMB 1,000.00)
By air    RMB 29.00 per volumetric weight(kg) (Air shipping will be charged at weight with a minimum of 70 kgs, if Exhibits weighing less than 45 kgs will be charged a minimum of RMB 1,400.00)
Customs clearance fee for temporary import exhibits: RMB 500.00 per exhibitor per shipment.
Inbound movement charges for exhibits direct arrive at Beijing airport, services include collection goods from Beijing airport, customs bonded and delivery to stand. 

Inbound Movement Charges from the Beijing Airport to exhibition booth: RMB 9.20 per volumetric weight(kg) (min. charge of 70kgs per exhibitor per shipment).

Customs clearance fee for temporary import exhibits: RMB 500.00 per exhibitor per shipment.

All above handling rates DO NOT include any insurance coverage, Beijing / Hong Kong Import/Export terminal charges, Hong Kong local pick up/delivery charges, Hong Kong Import/Export Customs declaration fee, Quarantine Treatment fee, etc.  For the Quarantine treatment of wooden packing materials (such as fumigation, disinfections, heat treatment, etc), and sampling of wooden packing materials by the Quarantine Authority if the exhibitor(s) use any wooden packing, the charges will be incurred separately.

5. Outbound shipping and relevant charges

Outbound shipping fees and delivery out of the hall include: packing, loading, storage and shipping to the Hong Kong BEX Logistics Co., Ltd. warehouse, as well as relevant clearance and documentation, equivalent to the inbound shipping charges. Outbound charges to other destinations will be quoted upon request.

Customs clearance fee for duty free given-away or consumed items: RMB 300.00/exhibitor/shipment

 

6. Permanent Import Customs Clearance and charges for the books after the exhibition

If all books are sold to CNPIEC, the Permanent Import customs clearance and duty/tax will be paid by CNPIEC directly. If sold to a company in China, in this way, the buyer has to provide import permit to China Customs, arrange permanent import customs clearance and pay the import duties and tax. The Permanent Import customs clearance charges should be RMB 1000.00/exhibitor/shipment and import duty/tax(e.g. book VAT is 10%)will incur. Other charges like transportation, import permit, etc.. will be debited as per outlay.

 

7. Important notice
(1) According to China Customs regulations, all promotional materials, brochures, journals/magazines, catalogues and souvenirs must be declared on “Declaration form for temporary import exhibits” in English with unit price and quantity. BEX will handle declaration for them in advance and prior censorship will be done by Customs. Only after going through censorship they will be allowed to be distributed on site. Before distribution, three samples of each promotional materials, brochures, journals/magazines, catalogues and souvenirs must be handed over to BEX for customs records.
(2)All exhibits will be imported to China temporary under customs bonded. Exhibitor must complete the Form D-1, DECLARATION FORM FOR TEMPORARY IMPORT EXHIBITS, and provide to the official freight forwarder with their goods. Name of commodities, quantity of each item, unit price must be declared accurately. (For example, number of books and souvenirs, number of piece of catalogues) Any items which were not declared on the declaration form is not allowed by customs to re-export from China with the exhibits. Any cargoes which were received from the exhibitor’s client or bought by exhibitor in China are not allowed by customs to ship with your exhibits export from China. You might contact the sole official forwarder for possibility to export such items from China and all charges incur are on your own account.
(3) Exhibitor also must complete the Form D-2, 2020 BIBF BOOK LIST and provide to the sole official freight forwarder in Excel format for their books. The total quantity of books must be same as the Form D-1, DECLARATION FORM FOR TEMPORARY IMPORT EXHIBITS and the value of books must be declared in reasonable. Otherwise, we will not guarantee the books can be delivered to exhibition booth on time.
(4) Please do not ship any audio/video products/DVDs/VCDs/CDs, USBs, foodstuffs, electrical appliances, toys,personal belongings and wood-made items with your exhibits to China. Some items are required special permit and extra penalty will be occurred if your shipment contains those items.
(5) Exhibitors are strongly advised NOT to hand-carry goods for this exhibition. However, exhibitors who insist on hand-carry goods to the exhibition, exhibitors have to take their own risk and responsibility for any problem if incurred.Exhibitors should then declare to customs at the airport that their hand-carried goods are for exhibition purpose. If hand-carried goods are detained by the Airport Customs Office,BEX might handle the Customs declaration (on temporary basis) with a detention receipt which issued by the Customs Office and collect the goods back from Beijing airport (the procedure will take at least 3-5 working days, and the customs clearance and services fee will be same as inbound air-freight shipment and additional handling surcharge will be incurred and it is at exhibitor’s account). According to Customs regulation, hand-carried goods cannot be re-exported by exhibitors themselves and must be re-exported by BEX under General airfreight shipment. All export declaration charges, storage and freight charges etc will be same as inbound air-freight shipment and at exhibitor’s account.
(6) After the exhibition, if you are donating the books to the
40 www.bibf.net BEIJING INTERNATIONAL BOOK FAIR 2020 embassy, please provide us the donated letter from exhibitor, received letter from Embassy with full list of donated book names, quantity to the embassy (Chinese and English Version
with Embassy Endorsement), We have to receive those original documents two days before opening of the exhibition so that we can arrange the related customs formalities first.
(7)As all packages of exhibits will be frequently loaded and unloaded during transportation, storage in open-air or will be placed outdoor, please ensure that your exhibits are packed in strong, water-proof package which is strong enough to protect
the exhibits from damage and rain. If the shipment sending over 15 cartons, we strongly recommend to use plastics pallet for their shipment. Otherwise, there are palletize fee surcharges will be effected.
